An internal app can help when work depends on collecting information, following tasks and handing results between people. Assessment should observe the real workflow, including periods without a stable connection.
Which process should be assessed first?
Choose a repeated task: receiving a work order, recording a visit or submitting a check. Identify where information is lost and where someone copies data. Observe the handover between field staff and office coordination.
Should every user see the same information?
Define roles around responsibilities. A technician may need assigned tasks; a coordinator may need allocation and exception handling. Include what happens when someone changes teams or leaves the organisation.
Can the app work without the Internet?
That behaviour must be designed. Define available data, permitted changes and how simultaneous edits are resolved. Users should distinguish work saved on the phone from work already synchronised with the central system.
How can improvement be demonstrated?
Compare a test journey with the current method: completion time, missing information and required rework. Include a network failure and a correction. Kapta can use those examples to scope a first version around the team's actual work.
